I’m the owner/operator of a small environmental testing company in California (asbestos, lead, mold). I’m looking to streamline my customer intake and job management process using Zoho CRM, Forms, Writer, and Sign, while continuing to use QuickBooks Online (QBO) for all estimates, invoices, and payments.

This project is Phase 1 of a larger build, and I’m intentionally starting small to test the value and compatibility of Zoho in my existing workflow. If the pilot is successful, I will likely extend this into a more advanced Phase 2 project with full reporting automation and email campaigns.

Project Scope / Deliverables:

Zoho CRM Customization

Create a simple pipeline for managing jobs (Lead → Scheduled → In Progress → Completed)

Add custom fields:

Customer name, phone, email

Job address

Job type (asbestos, mold, lead)

Requested date/time

Status flags (Estimate sent, Work Auth signed, Report sent, Paid, etc.)

Configure views or a dashboard for tracking upcoming jobs and unsent reports

Zoho Form Setup

Create a branded customer intake form with the fields above

On submission:

Create or update CRM record

Trigger Zapier or Zoho Flow to:

Create draft customer + estimate in QBO

Create Google Calendar or Zoho Calendar event

Create a new job folder in OneDrive (named as: Job#_ClientName_Street)

Zoho Writer Document Templates

Create two templated documents:

Work Authorization

Chain of Custody

Auto-filled from CRM fields (merge tags)

Downloadable as PDF or ready for e-signature

Zoho Sign Integration

Allow Work Authorization to be sent for e-sign from CRM

Signed document auto-attached to CRM record or synced to job folder

Basic CRM Dashboard or View

Display jobs with:

Unsigned work auth

Jobs scheduled this week

Reports pending

(Optional: unpaid invoices via QBO sync or status flag)

Optional: Review Request Email Template

Create a reusable email template requesting a Google/Yelp review

Option to manually send or trigger 2 days after report is sent
